Privacy Policy

This policy explains what personal information Gudsoft Digital Solution collects, why we collect it, how we use and protect it, and what rights you have over it. We have written it in plain language rather than legal jargon, because a policy nobody reads protects nobody.

It applies to gudsoftdigital.com, to enquiries you send us by form, phone, email or WhatsApp, and to the work we do for clients.

1. Who we are

Gudsoft Digital Solution is a digital marketing agency based in Arrah, Bihar, India. We provide website design, Local SEO, Google Business Profile management, Google Ads, Meta Ads, social media marketing, video editing, 360° virtual tours and WhatsApp marketing.

For the information described in this policy, Gudsoft Digital Solution acts as the data fiduciary under India's Digital Personal Data Protection Act, 2023 — meaning we decide why and how your information is handled, and we are answerable for it.

2. Information you give us directly

When you contact us or request a free audit, we ask for:

• Your name
• Your business or brand name
• Phone number
• Website address, if you have one
• City or area where your business operates
• What you want to improve — whatever you choose to write in the message box

Only the name and phone number are required. Everything else is optional, and you control how much you share.

How our enquiry forms work. The forms on this website do not store your details on our server or in a database. When you submit a form, your browser opens WhatsApp with the details you typed already written into a message, which you then choose to send. If you do not press send, we never receive anything. Once you send it, the message sits in our WhatsApp Business inbox and is governed by WhatsApp's own terms as well as this policy.

3. Information collected automatically

Like almost every website, ours records some technical information when you visit:

• Pages you viewed and how long you stayed
• Approximate location, usually at city level, based on your IP address
• Device type, browser and operating system
• The website or search that sent you here

We use this in aggregate to understand which pages are useful and which are not. We do not use it to try to identify you personally.

4. Cookies and analytics

We use Google Analytics 4 (measurement ID G-NT6BJ6ZJ6N) to measure traffic. It sets cookies that help distinguish one visitor from another and remember whether you have been here before. Google processes this data on our behalf; you can read how at Google's Privacy Policy.

Our hosting and caching software may also set strictly functional cookies so pages load faster. These do not track you across websites.

How to control cookies. Every browser lets you block or delete cookies in its settings. You can also install Google's official Analytics opt-out add-on. Blocking cookies will not stop you from using this website.

If we later add advertising or remarketing pixels — for example from Google Ads or Meta — we will update this section before switching them on.

5. How we use your information

• To reply to your enquiry and answer your questions
• To prepare the free audit or proposal you asked for
• To deliver the services you have hired us for, and to invoice for them
• To send you reports and updates about your own account or project
• To improve our website and understand which content actually helps people
• To meet our legal, tax and accounting obligations

We do not sell your personal information. We do not rent, trade or share your contact details with other businesses for their marketing. We do not add you to a promotional mailing list because you asked us a question.

6. Client accounts and confidentiality

This section matters if you hire us, because managing marketing means we are trusted with access to systems that belong to you.

• Accounts stay in your name. Your website, domain, hosting, Google Ads, Meta Business Manager, Google Business Profile and WhatsApp number remain yours. We work inside them as a manager or partner, never as the owner.
• We ask for the lowest level of access that lets us do the job, and no more.
• Any customer data we can see inside your accounts — enquiries, leads, reviews, messages — belongs to you. We use it only to run your campaigns and report to you. We never move it into another client's account, and we never reuse it for our own marketing.
• When our work together ends, you remove our access. We delete any working copies of your files and credentials we still hold, apart from what we are required to keep for tax and accounting records.

7. Who we share information with

We share information only with the service providers needed to run our business, and only as far as necessary:

• Google — analytics, Business Profile, Ads and Workspace services
• Meta — WhatsApp Business, Facebook and Instagram, when campaigns or messaging are part of your service
• Our web host — which stores this website and its logs
• Email and invoicing providers — to correspond with you and issue bills

These providers may process data outside India. We may also disclose information where the law requires it, or where it is necessary to establish or defend a legal claim.

8. How long we keep it

• Enquiries that do not become projects — kept up to 24 months, in case you come back to us, then deleted
• Client records and project files — kept for the duration of our work together, then for as long as tax and accounting law requires
• WhatsApp conversations — kept while the enquiry or account is active, then cleared periodically
• Website analytics — retained according to Google Analytics settings, currently 14 months

You can ask us to delete your information sooner. See the next section.

9. Your rights

Under the Digital Personal Data Protection Act, 2023, you have the right to:

• Know what personal data of yours we hold and what we have done with it
• Correct anything inaccurate, incomplete or out of date
• Erase your data, where we are not required by law to keep it
• Withdraw consent at any time, which stops any further processing based on that consent
• Nominate another person to exercise these rights on your behalf if you are unable to
• Complain to us, and then to the Data Protection Board of India if we do not resolve it

To use any of these rights, email mail@gudsoftdigital.com or message us on WhatsApp. We will respond within 30 days. We may ask a question or two to confirm it is really you before acting on a request.

10. Security

We protect your information with HTTPS encryption across the whole site, restricted access to accounts and files, strong passwords with two-factor authentication where a platform supports it, and regular backups and software updates.

No system is perfectly secure, and we will not pretend otherwise. If a breach occurs that puts your personal data at risk, we will inform you and the Data Protection Board of India as the law requires.

11. Children

Our services are meant for businesses, and this website is not directed at children. We do not knowingly collect personal data from anyone under 18. If you believe a child has sent us their details, contact us and we will delete the information.

12. Links to other websites

Our website links to other sites — our clients' websites, Google, our social profiles. Once you follow such a link, this policy no longer applies. We are not responsible for how those sites handle your data, so it is worth reading their policies too.

13. Changes to this policy

We update this policy when our services, tools or the law change. The date at the top of this page always shows the latest version. If we make a change that meaningfully affects how we handle your information, we will say so clearly rather than quietly editing the text.
